At Oaks International Education, we provide professional and caring guardianship
services for international students studying across the United Kingdom. Guided by
the high standards of AEGIS-accredited practice, we ensure every student feels safe,
supported, and confident throughout their time in the UK. Our dedicated team
works closely with parents, schools, and students to offer ongoing care,
communication, and guidance—helping each child thrive academically and
personally while studying away from home.
Our Guardianship Services Package is £4000 per year (
including Registration fees and VAT).
This package covers the fundamental guardianship duties required by UK Schools
and Visa regulations, ensuring that each student has a responsible guardian available
in the UK.
Includes:
24-hour emergency contact and assistance
Liaison with school and parents in case of emergencies
Oversight of travel and accommodation arrangements when required
Assistance with documentation, permissions, and communication as needed
Basic welfare checks through school correspondence

Parent Handbook 2025
Founded in 2019, Oaks International Education Ltd ( UK Oaks) offers unique and bespoke tailored services in all aspects of student guardianship and independent education.
Our main aim is ensuring all students have a safe and enjoyable time in the UK, while reaching their full academic potential.
Choosing to study abroad is a very important and life-changing decision and it can take time for many students to feel comfortable in their new surroundings. We believe that by developing strong and trusting relationships with the students in our care, they will gain the most out of their experience in the UK. Students’ welfare is a top priority and all students are assigned a dedicated guardian and given an emergency phone number which is available 24/7.
The school
UK schools require all their students whose families live overseas to have an appointed Education guardian living in the UK, normally aged over 25 years. It is also now a UK visa requirement. Whilst at the school, your child’s houseparent will take responsibility for academic progress and welfare, but there are times during the term and more importantly outside term time, when the school must be able to hand over these responsibilities to a properly appointed Education guardian.
In summary the core Responsibilities and roles as an Education guardian are as follows:
Act as a local parental figure: Guardians stand in for parents who live overseas, ensuring the student’s welfare and safety.
Liaise with schools and parents: They serve as a communication bridge between the student, their family, and the school.
Emergency support: In case of illness, disciplinary issues, or travel disruptions, guardians step in to manage the situation swiftly.
Accommodation arrangements: During holidays or school breaks,exeat weekends, medical emergencies, suspensions and exclusions, they help organise host families or safe housing.
Monitor academic and personal well-being: Guardians keep an eye on attendance, progress, and emotional health.
In short, an Education Guardian ensures that international students are not just academically supported, but also emotionally and practically cared for while away from home.
A deposit to the school is paid to reserve a place at the school. Should the student not enrol for any reason other than visa refusal, the deposit will not be returned. The deposit will be kept by the school until the student graduates or leaves the school, as long as sufficient notices are given. The deposit will then be returned to the student either in full, or minus any extra used by the student in the last term at school. The deposit is not to be used in lieu of the first term's fee.
School fees are paid either termly or annually but must always be paid prior to the start of term, otherwise penalty fees will incur.
In addition to school fees, students will incur "extras" each term on outflows such as transport, school trips, stationery, ad hoc school events, etc. These will be added to school fees and are paid in arrears.
Changing School
Sometimes it can take 2 or 3 weeks, or even a term, to feel comfortable in a new school, with other
students and teachers, and with living in the UK. We encourage students to try to relax in their first term so they can enjoy their time as much as possible.
If there are any problems, please try to speak to the school first and we will try to assist if the matter does not get resolved. If the problems cannot be resolved and you would like your child to move to a different school, we can assign you with an education consultant for our School Placement service.
Should the student wish to leave school prior to graduation, at least a full term's notice must be given by parents officially. If not, a penalty will incur and it often means the deposit paid at the beginning will be confiscated. For example, if a student wishes to leave at the end of the summer term and not return for the following September, a full term's notice means that the school needs to be informed before the start of the Easter holiday.
Safeguarding
UK Oaks is committed to safeguarding and child protection. We have comprehensive policies on safeguarding, prevent / anti-radicalisation, low level concerns, complaints, anti-bullying, missing student, online safety, and data protection that provide further information and outline our procedures. We have a trained Designated Safeguarding Lead . You or your child can raise a safeguarding concern with your contact at the guardianship organisation or directly to the Designated Safeguarding Lead (contact numbers are included in the table below). Alternatively, you may wish to raise a concern directly with the school your child attends. All schools have their own Designated Safeguarding Lead. Please note that any concern that you or your child raise with us will be taken seriously and will be handled in line with our published procedure.
Statement of services
Schools frequently need a parent or guardian to sign for parental permission for students to participate in school activities and excursions. Our policy is to forward these to you as parents for approval if the cost is over £ 20, and or if the activity is strenuous or potentially dangerous. Otherwise we will sign, unless you have indicated otherwise on the application form.
Guardianship Services for International Students
UK Oaks provides full guardianship to ensure students’ safety, well-being, and academic support while they study in the UK. Our services include:
24-Hour Contact & Welfare Oversight
We maintain a 24-hour emergency telephone line, carry out routine welfare checks, and send regular updates to parents living overseas.
Accommodation
Students have access to UK Oaks’ supervised accommodation during half-terms, exeat weekends, school holidays, or in any emergency when the school cannot house them.
Travel & Transfers
We arrange airport or rail transfers at the start and end of term—or whenever required—at an additional cost.
Academic Liaison
As parents reside abroad, a UK Oaks guardian will attend all parent–teacher meetings on their behalf and promptly forward detailed reports and feedback.
Parent Communication
Parents can contact UK Oaks at any time for urgent matters or to schedule regular progress updates. We recommend email for routine questions and our 24-hour emergency phone line for immediate concerns.

Transport Arrangements
For transfers between the airport and school, or between the UK Oaks accommodation and school, UK Oaks have a team of designated and reliable drivers available to meet students and take them to their school accommodation. UK Oaks will arrange transport for the end of terms, half terms, and exeats for your child. Parents should advise whether their child will be returning to China during their holidays, and they should send the information to Rebecca Oh in the UK one month before the start of their holidays.
Requesting and arranging an accommodation
To book our accommodation, please provide us with all holiday arrangements and accommodation requirements, as detailed as possible. Once you have agreed, we will book the room according to the term dates provided by the school. If you are not happy with the choice, you will be asked to clarify the requirements and we will transfer you child to another room accordingly. All our rooms are en suite.
Change of plan?
There may be occasions when you need to change the arrangements that have been made for an exeat, half-term, holiday. Please ensure that you contact us as soon as possible, and no later than 14 days before the arranged stay. If a refund is to be made, any administration fees plus 10% of the accommodation fees will not be refunded.
Should you wish to cancel your child’s transfer booking, two working days’ notice in writing is required for a refund to be considered. If a refund is to be made, any administration fees plus 10% of the transfer fees will not be refunded. Bank transaction charges will be deducted from the refund amount if the transfer is made to an overseas account.
Please note that if a host family or transfer is booked and then subsequently changed or cancelled, the fees will be charged to your child’s emergency fund account.
Emergencies
UK Oaks will respond to any requests to provide emergency support and accommodation for students. For example, this could be due to a medical issue or suspension. The student will be placed with UK Oaks accommodation.
UK Oaks Accommodation
To book an accommodation with UK Oaks, please provide us with all holiday arrangements and requirements, as detailed as possible at least one month in advance prior to the holiday starts. This includes half terms, exeat weekends, Christmas and Easter, as well as travel plans when they arrive in the UK and leave at the end of the year. We will then book your child in at UK Oaks accommodation.
UK Oaks accommodation start at £68 per night including 3 meals a day. Please note that if a student leaves our accommodation after 12pm on the last day, an additional night’s fee will be charged.
If you would like us to arrange a taxi transfer for your child to the schools or airport, please let us know when you confirm the accommodation booking.
Updates on student’s welfare and academic progress
The provision of academic and pastoral updates regarding your child’s progress at school and welfare at school and with the accommodation will be arranged in line with the service you have booked.

Expenses
If your child will incur "extras" each term on outflows such as transport, school trips, stationery, ad hoc school events, etc. These will be added to school fees and are paid in arrears. If UK Oaks booked the transport for your child or other misc expenses, we will add them to the guardianship account and are paid in advance.
Life in the UK
Living in the UK may be quite different to the life your child is used to. Every country has its own customs and it may take them a while to get used to these. Please do not worry, this is most normal. Here are a few examples of British customs to help you understand what is expected:
Meeting people: Sometimes British people come across as being reserved but usually they are kind, helpful and welcoming of visitors. British people usually greet each other with a handshake and use their title and surname, until being invited to use their first names. For example, when meeting a new contact, they may greet saying “Good morning Mr Harris”. Due to the coronavirus, greetings have changed, and handshakes are not currently being used. A verbal greeting is perfectly acceptable, whilst maintaining social distancing.
Queues: The British people love queues! When waiting their turn, for example in a shop, bank or for public transport, people form a line one behind the other so that they are served in turn. It is considered rude to push in.
Please and thank you: British people greatly appreciate politeness. This means when you would like something you would start a sentence with the word “Please”, for example, “Please may I have a sandwich?” When you have received something, you should always reply with “Thank you”.
Sorry! The British people are often heard to say “Sorry!” This word is used if people accidentally bump into each other or make a mistake. Often people say it even if they were not to blame (for example, a person bumped into them whilst walking in the street).
Mealtimes: It is considered polite to wait for all people at the table to have their meals in front of them before you start to eat. Knives and forks are used to eat the vast majority of main courses, although some British families may use other cutlery to suit the cuisine. Knives and forks are placed together on the plate to indicate that the diner has finished. It is not considered polite to eat with your mouth open or speak whilst eating. Similar to the beginning of the meal, diners usually wait until everyone is finished before leaving the table, and often time is spent having a chat around the table.
What we expect from students whilst staying with UK Oaks Accommodation.
UK Oaks expects all their students to be polite and courteous when staying with at our accommodation. Our UK Oaks accommodation is not a hotel and the expectation is that your child will be included as part of the family. As such, they will be expected to engage with family members, joining them at mealtimes, and possibly helping with chores such as laying the table. UK Oaks will explain our own house rules to them when they arrive. Please do ask them if you have any questions.
Student handbook and Student Behaviour Code of Conduct
UK Oaks has a student handbook and student behaviour code of conduct. These include lots of information that will prepare your child for life in the UK. We ask that you go through these with your child so that they are aware of our expectations.
Student Finances
We will set up an emergency fund account for them. We will keep their funds safe and use it to pay for services such as accommodation and transfers during their stay. When the guardianship package ends, we will return any unused fund back to you.
Schools usually take care of pocket money for students. The housemaster will keep your student’s pocket money safe and release funds to them when needed. Your child should not keep large amounts of cash in their room in case of theft.
Your child should not need to open a UK bank account, however if they would like to open one, the school may be able to help. To open an account they will need a ‘bank letter’ from the school, their passport/ID and proof of address. If a bank card is lost or stolen, it must be reported to the bank immediately so they can cancel the card and send a new one.

We will help you set up a bank account and arrange credit cards for your child if required. Please contact us and we will be able to make the necessary arrangements.
Liability
Please note that UK Oaks will not be liable for any damage arising from conduct and/or behaviour of any student placed with us.
Responsibilities during a pandemic
Pandemics can cause major disruption to travel and schooling. It is important in such events that UK Oaks takes advice from the government, the UK Health Security Agency, and the World Health Organisation. AEGIS also provides guidance for members to follow. This is regularly updated as situation develops. Usually, in a pandemic it is important to restrict movement so as not to spread the disease further. That means boarding school students would usually remain at school. In the event of a pandemic UK Oaks may not be able to offer accommodation for your child as this could place students and the wider community at risk. UK Oaks will work with you to find flights to home countries where required. UK Oaks will work with schools to meet students’ needs during a pandemic. This could be by helping to support students to learn remotely as directed by the school. UK Oaks will work with you and your child’s school to find suitable quarantine accommodation for students where required.
